Transfers

Pre-requisites :

  • Is the tenant approaching the end of their current lease? If not, then politely ask them to approach you nearer the end of their lease to see what is available then.
  • Is the tenant delinquent in their current unit? If so, they cannot transfer and we would be better off issuing a non-renewal notice for their current lease and having them move out.
  • Would you lease to this person again? If not then deny the transfer request.
  • Check their current apartment to see what kind of condition it is in. If it is not well-kept and in great condition (for example, trash, old food/food boxes, diapers, animal waste, etc. throughout) then deny the request. It costs a lot of money to get these bad units back to a rent-ready condition. We don’t want them to leave one and mess up another the same way.

Transfer process:

  • Tenant must pay transfer fee and new deposit before being given the keys. Old deposit will be returned less any charges if appropriate after inspection of their old unit.
  • The rent for the new unit should not be below he market rent for that unit even if they had the same floor plan at a lower rate.
  • Schedule a moving day in advance. They should be all packed up and ready to move by that day.  They must turn in their old set of keys the same day as they get their new keys (otherwise they will be charged daily rent for both units).

ResMan data requirements

The following information is required (by ResMan) in order for a transfer request to be processed. By providing all of this information along with your initial request it will allow things to get processed much more quickly and smoothly.

  • The original/”old” unit number.
  • Notice given date (for the old unit)
  • Move-out date (for the old unit)
  • The new unit number (must be currently available in the system).
  • Application date
  • Leasing agent (usually the staff member requesting the transfer)
  • Start date, lease term and end date
  • Aside from the rent are there to be any recurring charges and the amount of each; e.g. reserved parking, or an extra parking sticker, etc.
  • Any one-time charges and the amount of each.
